1. Introduction and Scope
Valley Troubadours, LLC ("Valley Troubadours," "we," "our," or "us") and its affiliated nonprofit organization Troubadours Music Boosters, Inc. ("Boosters") are committed to transparency about our data practices. This Privacy Policy describes how we collect, use, store, disclose, and otherwise process personal information about you when you visit www.valleytroubadours.com (the "Site"), enroll in or use our programs and services (the "Services"), donate to Boosters, or otherwise interact with us.
By visiting the Site, submitting an enrollment form, signing up for communications, or providing personal information to us in any way, you acknowledge that you have read and understood this Privacy Policy and agree to our data practices as described herein. If you do not agree, please do not use the Site or Services.
This Policy covers both Valley Troubadours, LLC (music education programs and instruction) and Troubadours Music Boosters, Inc. (charitable fundraising and booster activities in support of music education). References to "we," "our," or "us" include both entities unless a distinction is expressly noted.
This Policy does not apply to information collected by any third party through any application or content (including advertising) that may link to or be accessible from the Site.

When you access or use the Site, we and our service providers automatically collect certain information about your device and browsing activity, including:

Information you post or share in a public or semi-public social media context—such as the Valley Troubadours Facebook group—may be viewable by other group members and is subject to the privacy settings and policies of the applicable platform, not this Policy.

3. How We Use Your Information
We use the personal information we collect for any and all legitimate business purposes, including without limitation:

Processing enrollment applications and managing student and family accounts;

Providing, administering, and improving our music education programs and related services;

Communicating with you about enrollment status, class schedules, tuition, program updates, and other matters relating to the Services;

Marketing and promoting Valley Troubadours programs, new offerings, special events, recitals, and related activities;

Fundraising and donor stewardship on behalf of Troubadours Music Boosters, Inc.;

4. SMS and Text Message Communications
CTIA Compliance Statement: Mobile phone numbers and SMS opt-in consent data collected by Valley Troubadours will not be sold, shared, or transferred to any third party or affiliate for marketing purposes.
4.1 Nature of SMS Messages
By providing your mobile telephone number and consenting to SMS communications in connection with enrollment or account setup, you agree to receive text messages from Valley Troubadours. All SMS messages we send are operational and transactional in nature and relate to the Services, including:

Class reminders, schedule changes, and cancellations;

Billing notifications and payment confirmations;

Waitlist status and enrollment availability notices;
-
Program announcements, new enrollment opportunities, recitals, and events; and

Other notices related to your student's participation in Valley Troubadours programs.
4.2 Consent and Conditions of Service
Consent to receive SMS communications is a standard component of enrollment in Valley Troubadours programs. Because our SMS messages are operational and service-related, opting out of text messages may affect your ability to receive timely information about your student's classes, billing, and program activities.
4.3 How to Opt Out or Get Help
To stop receiving SMS messages, reply STOP to any message at any time. After you send STOP, you will receive a single confirmation message and will no longer receive SMS messages from Valley Troubadours. 4.4 Rates and Frequency
Message and data rates may apply. Message frequency varies based on account activity and program enrollment. For questions about your mobile plan, contact your wireless carrier.
4.5 No Carrier Liability
Carriers are not liable for delayed or undelivered messages.
4.6 No Third-Party Marketing Sharing
We do not sell, transfer, or share your mobile phone number or SMS opt-in data with any third party or affiliate for marketing or promotional purposes. Your consent to receive SMS messages from Valley Troubadours is specific to Valley Troubadours and is not transferable.

5. How We Share Your Information
We may disclose your personal information in the following circumstances:
5.1 Service Providers
We share personal information with third-party service providers that perform services on our behalf, subject to confidentiality obligations, including:

Enrollsy, Inc. — enrollment platform and student management;

Twilio, Inc. — SMS text messaging infrastructure (used by Enrollsy on our behalf);

Payment processing providers — secure handling of billing and financial transactions;

Email marketing platforms (including Mailchimp/Intuit) — sending newsletters and email communications; and

Website analytics providers — collecting and analyzing Site usage data.
These service providers are authorized to use your personal information only as necessary to provide services to us and are not permitted to use your information for their own marketing purposes.
5.2 Affiliated Entities
Valley Troubadours, LLC and Troubadours Music Boosters, Inc. are affiliated entities sharing common management and operational relationships. We may share your personal information between these two entities for purposes consistent with this Policy, including program coordination, communications, and fundraising activities.
5.3 Social Media Platforms
Valley Troubadours maintains a community Facebook group for families and students. Information you post or share in that group is subject to Facebook's own terms and privacy policies. We do not control the privacy settings of third-party social media platforms.
5.4 Legal Requirements and Safety
We may disclose personal information (a) to comply with any applicable law, regulation, legal process, or governmental request; (b) to enforce our rights, agreements, or policies; (c) to protect the rights, property, or safety of Valley Troubadours, Boosters, our students, staff, or the public; or (d) in connection with fraud prevention or security investigations.
5.5 Business Transfers
In the event of a merger, acquisition, sale of assets, reorganization, or similar business transaction involving Valley Troubadours or Boosters, personal information we hold may be transferred as part of that transaction. We will notify you of any such transfer by updating this Policy.
5.6 With Your Consent
We may share your information for any other purpose with your prior consent or at your direction.
5.7 No Sale of Personal Information
Valley Troubadours and Boosters do not sell personal information to unaffiliated third parties for their own marketing or commercial purposes.

We do not commit to any specific deletion schedule and reserve the right to retain information as we determine appropriate for legitimate business operations.
When personal information is no longer needed, we will dispose of it in a manner designed to prevent unauthorized access or disclosure.

Our enrollment platform (Enrollsy) and payment processors maintain their own security programs in accordance with applicable industry standards.
No data transmission over the internet or electronic storage system is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security. You provide personal information to us at your own risk. In the event of a data breach that affects your rights or freedoms, we will notify you as required by applicable law.

9. Children's Privacy
Valley Troubadours provides music education programs to students of all ages, including minors. The Site and our online enrollment process are not directed to children under the age of 13, and we do not knowingly collect personal information directly from children under 13 years of age. All enrollment and account activities for students who are minors must be completed by a parent or legal guardian.
When a parent or guardian enrolls a minor student, we collect information about that student (including name, date of birth, grade level, and any medical or accessibility information) from and with the consent of the parent or guardian. By submitting enrollment information about a minor, you represent and warrant that you are the parent or legal guardian of that student and that you consent to the collection and use of the student's information as described in this Policy.
If we learn that we have inadvertently collected personal information directly from a child under 13 without verified parental consent, we will take prompt steps to delete such information. If you believe that we may have received information from a child under 13, please contact us immediately at customercare@belfryhall.com.

10. Donor Privacy — Troubadours Music Boosters, Inc.
Troubadours Music Boosters, Inc. collects information from donors and prospective donors, including name, mailing address, email address, telephone number, and donation history. This information is used to:

process and acknowledge donations;

communicate with donors about Boosters activities, fundraising campaigns, and stewardship updates;

satisfy applicable tax-exempt organization recordkeeping requirements; and

conduct fundraising activities.
Boosters does not sell, rent, or trade donor personal information to any third party for marketing purposes. We may share donor information with service providers that assist us with payment processing, donor management, or communications, subject to appropriate confidentiality obligations.
Donation transactions are considered private information. We do not publicly disclose donor names or gift amounts without the donor's express consent, except as required by law.

11. Your Choices and Communications Preferences

11.1 Email
You may opt out of receiving marketing emails from us by clicking the "unsubscribe" link at the bottom of any marketing email or by contacting us at customercare@belfryhall.com. Even if you opt out of marketing emails, we may continue to send you transactional and operational email messages relating to your enrollment, account, billing, or safety matters.
11.2 SMS Text Messages
To stop receiving SMS messages, reply STOP to any text message. Please note that opting out of SMS will result in your no longer receiving text communications from Valley Troubadours, including operational notices about class schedules, cancellations, billing, and enrollment. If you opt out and need to receive service-related information, please ensure that your email address on file is current.
11.3 Account Information
You may review and update your account information by logging into your Enrollsy account or by contacting us at customercare@belfryhall.com. We may retain certain information as required by law or for legitimate business purposes even after an account is updated or closed.
11.4 Cookies
You may control cookies through your browser settings. Please note that disabling cookies may affect Site functionality.

12. State Privacy Rights

12.1 California Residents
California law (including the California Online Privacy Protection Act (CalOPPA) and, to the extent applicable, the California Consumer Privacy Act (CCPA/CPRA)) provides certain rights to California residents regarding their personal information. California residents may request information about our disclosure of personal information to third parties for their direct marketing purposes. Valley Troubadours does not sell personal information to third parties for direct marketing purposes. 12.2 Wisconsin and Other States
Valley Troubadours is based in Wisconsin. Wisconsin does not currently have a comprehensive consumer privacy law imposing individual data rights obligations on organizations of our size and type. We will comply with applicable state privacy laws as they come into effect.

The Site may contain links to third-party websites, social media platforms, and online services not owned or operated by Valley Troubadours or Boosters. We are not responsible for the privacy practices of such third parties, and this Policy does not apply to information collected through third-party sites or services. We reserve the right to modify this Privacy Policy at any time, at our sole discretion, without advance notice.
